Lumus Imaging is looking for an experienced and professional Deputy Administration Manager to lead and manage the daily operations of our front desk and administration team across South Australia the role is based within our Elizabeth office but will require the successful candidate to travel to other sites including  Marion, Modbury, Royal Park, Elizabeth, and Norwood.

 

As the first point of contact for staff, patients, referrers, and stakeholders, you will play a crucial role in ensuring a seamless and professional experience while supporting and developing a high-performing reception team.

 

About the Role

  • Lead, supervise, and mentor the reception/administration team to deliver high-quality, patient-focused services.
  • Manage the day-to-day front desk operations across multiple sites, ensuring efficiency, professionalism, and compliance with Lumus Imaging policies.
  • Oversee rostering, staff performance, training, and adherence to company procedures.
  • Be the primary point of contact for resolving patient and referrer queries and complaints.
  • Ensure patient bookings, billing, Medicare submissions, and other administrative tasks are completed accurately.
  • Foster strong relationships with internal teams including radiologists, technical staff, and management.
  • Maintain a visible leadership presence across all sites, promoting a positive, collaborative, and patient-centred culture.

Key Responsibilities

  • Supervise and develop administration staff performance and support professional growth.
  • Monitor daily reception activities, troubleshoot issues, and implement effective solutions.
  • Ensure compliance with billing, privacy, and regulatory requirements.
  • Maintain rosters, process timecards, and manage leave requests.
  • Actively contribute to service excellence, patient satisfaction, and team morale.
  • Handle stock ordering, procurement, and office supply management.
  • Escalate areas of concern to management and implement corrective actions where required.
  • Collaborate with clinical and operational teams to support smooth day-to-day operations.

Qualifications & Experience:

  • Minimum of 5 years' experience in healthcare administration, preferably in medical imaging.
  • Demonstrated leadership experience managing a reception or administration team.
  • Strong knowledge of healthcare billing, Medicare requirements, and appointment scheduling systems.
  • Advanced communication, interpersonal, and problem-solving skills.
  • Proven ability to prioritise tasks, manage time effectively, and meet deadlines.
  • Computer proficiency (RIS/PACS systems experience preferred).
