Lumus Imaging is seeking a dedicated Clerical Coordinator to support our Eastern Region, which includes three private hospitals, two community clinics, and three medical centres with approximately 40 full-time equivalent (FTE) staff.

This full-time, permanent role is based at Knox Private Hospital and reports to Knox Clerical Supervisor

About the Role

As a key member of our team, you will be responsible for coordinating clerical operations across the Eastern Region, ensuring smooth workflow and effective rostering. Your responsibilities will include:

  • Collaborating with CICs in the Eastern Region to manage rostering requirements.
  • Overseeing the rostering of casual clerical staff using the Kronos Workforce Dimension Platform.
  • Applying strong organisational and planning skills to ensure appropriate staffing coverage for annual leave and unplanned absences.
  • Making effective last-minute adjustments to maintain operational efficiency.
  • Managing e-referrals via the Medicalis platform for the region.
  • Assisting HR and CICs in the recruitment of clerical staff.
  • Working closely with the SCL, customer service SME, and CICs to manage Medallia feedback.
  • Escalating issues to the Operations Manager or Workflow Coordinator when reporting turnaround times are impacted.
  • Performing clerical duties as required to stay informed of industry trends and best practices.
