Lumus Imaging have an exciting opportunity for an experienced clerical manager to join us as a State Clerical Lead in our Queensland Head office in Milton! 

 

As a Clerical Manager, you will have responsibility for the day-to-day operations of the clerical team within your state, which involves ensuring that the service provided to patients and referring doctors is of the highest quality.

This will encapsulate every key touch point with our customers from initial booking, to patient billing and delivery of the report back to the referrer. You will form the National Clerical Management team with your colleagues in other states to drive best practice customer experience and standardisation of processes to provide a consistent and exceptional service across all Lumus Imaging locations in Queensland.


Key Responsibilities:

  • Booking Processes - optimising and overseeing the process, managing key phone metrics, e referrals, online bookings and appointment booking optimisation across the state. 
  • Operations and Practice Management - Drive standardized processes and systems across the state ensuring efficient administrative operations and excellent support for clinical teams.
  • Team Leadership and Engagement- Ensure staff understand how they contribute to the performance of the business, provide them with direction, support and recognition, and promote collaboration, cooperation and teamwork through effective leadership and management strategies
  • People Development - Demonstrate a strong commitment to the development of others and implementation of effective performance management systems across the site/s
  • Workplace Health and Safety- Ensure the provision of a safe and healthy workplace and work practices across the business in accordance with WHS legislation and annual plan
  • Customer Experience - Responsible for enhancing customer satisfaction, ensuring effective customer feedback management, supporting key customer-facing technologies, and fostering strong relationships with referrers. Your role will involve implementing strategies to improve customer experiences, managing feedback loops, and collaborating with various teams to drive positive outcomes and seamless interactions.
  • Billing - Responsible for overseeing and optimising the billing processes within the state. Your role will involve overseeing billing accuracy, addressing errors and rejections, implementing new contracts, and ensuring efficient billing operations. By maintaining high standards of accuracy and optimisation, you will contribute to financial stability and customer satisfaction.

 

Key Requirements:

  • 3-5 years’ experience in a clerical management role, preferably in Healthcare
  • Prior experience in managing booking processes, call centres, or referral management is advantageous.
  • Excellent communication skills and a customer centric mindset 
  • Strong analytical and problem-solving skills 
  • Superior level of relationship building, influencing and negotiation skills
  • Leadership skills to manage cross-functional teams and drive process optimisation.
  • Competent in the use of Microsoft Office (e.g. Word, Excel and PowerPoint) and Outlook
