What You Will Be Doing
The Operations Support Officer is responsible for providing high-quality administrative and operational support to ensure the smooth functioning of laboratory support activities. This role plays a critical part in maintaining efficient office and laboratory operations by streamlining administrative functions, maintaining accurate records, and identifying opportunities for process improvement.

 

Your key responsibilities will include:

  • Manage general office operations, ensuring a well-organized and efficient work environment.

  • Handle stationery and supplies ordering and maintain stock levels.

  • Provide administrative support for event booking and coordination, including Lab Managers Conference and Annual Awards Dinner.

  • Track and manage supplier contract renewals, including maintaining poison permits and processing related POs.

  • Monitor and ensure timely renewal of contracts, including liaising with suppliers and internal stakeholders.

  • Coordinate waste removal processes, including chemical waste manifesting and EPA bookings.

  • Coordinate equipment maintenance such as pipettes repairs and timer calibration schedules, ensuring compliance with lab requirements.

  • Identify opportunities to streamline and automate administrative processes.

  • Maintain accurate records and tracking systems for all assigned responsibilities.

  • Develop standard operating procedures (SOPs) for key administrative functions.

  • Visitor site inductions and escalation of general maintenance requests.


What Type of Person Will Be Successful

 

These are the type of attributes & skills you would possess:

  • Proven experience in an administrative, office coordination, or operations support role

  • Strong organisational and time management skills, with the ability to handle multiple priorities.

  • Experience in purchase orders, and inventory management (P2P experience preferred).

  • Ability to maintain accurate records and handle compliance-related administrative tasks.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with administrative systems (e.g., Concur, UKG, or similar).

  • Strong attention to detail and ability to follow processes accurately.

  • Excellent communication and stakeholder management skills, with experience supporting teams across different levels of an organisation
